Part 2: Responsibilities for health and safety

To ensure health and safety standards are maintained/improved, the following people have responsibility in the following areas:

Reviewing and updating policies: Senior leadership team & Board of Trustees

Equipment maintenance: Facilities management
-
First Aid: Personnel department
-
Training: Personnel department

Everyone who works with us should:

co-operate with supervisors and managers on health and safety matters;

take reasonable care of their own health and safety; and
-
report all health and safety concerns to an appropriate person (as detailed above).

Part 3: Arrangements for health and safety

Completion of risk assessments for each new site contract delivery or ad hoc change of circumstances

Training for all employees and refresher sessions annually

Using safety signs and equipment

Risk assessment – ensuring that risks are assessed, updated regularly and any action to mitigate/avoid risks is carried out. A master risk register, subject to review by management/trustees is a useful way to do this.
Training – how you will identify and ensure any necessary training is carried out and kept up-to-date.
Equipment – any H&SW equipment, but also consider the servicing and maintenance of building systems, such as gas and electricity, or other equipment, such as electrical appliances.
Consultation – employers have an obligation to consult employees, so appointing a H&SW representative may be useful.
Evacuation – hopefully, never needed, but critical if it is. Ensure plans are in place, and tested.
International. The Charity Commission’s guidance on how to manage risks when working internationally and the FCO’s guidance on foreign travel are to be brought to the attention of those responsible for managing activities overseas.
An annual H&SW review will be carried out annually and the result will contribute to an action plan with progress against actions reported to the board at each meeting.

Part 4: Recording and Reporting
All incidents are to be recorded on the H&SW log maintained by the lead H&SW officer, all serious incidents will be reported to the board and/or prime contractors where required.
